On behalf of our client, one of New Zealand’s most prestigious law firms, we are seeking an exceptional Legal Administrator to join their high-performing Corporate department in Auckland.

As a key member of their team, you will be central to its success by providing an efficient and high-quality legal secretarial and administrative service. This is a varied and engaging role where you will be responsible for a wide range of tasks, allowing you to showcase your exceptional organisational skills.

Your key responsibilities will include:

  • Comprehensive File Management: Accurately managing all aspects of the file lifecycle, from opening, engagement letters, and AML processes to ongoing maintenance and closing, in line with firm policies and client requirements.

  • Expert Document Production: Producing and amending complex legal documents, diagrams, and presentations to the highest standard using Microsoft Word, PowerPoint, and Excel. You will work with templates and styles, track changes, and create polished, professional outputs within specified timeframes.

  • Efficient Billing & Accounts: Driving the accounts process by managing billing deadlines, generating accurate invoices, and drafting accompanying correspondence.

  • Professional Correspondence: Drafting well-written and professional correspondence, including emails and letters, either self-generated or from instruction.

  • Seamless Administrative Support: Providing general PA duties such as diary management, travel bookings, and coordinating team meetings.

  • Building Key Relationships: Fostering positive and collaborative relationships with internal team members and external clients.

Essential skills and experience include:

  • A high standard of written and verbal English, with impeccable spelling and grammar.

  • Fast and accurate typing skills, with experience in both copy typing and dictation.

  • Advanced proficiency in Microsoft Word, including formatting with automatic numbering and styles, tracked changes, document comparison, and creating tables.

  • Proficiency in Microsoft PowerPoint, including creating and editing presentations, inserting graphics, and setting up transitions.

What Will Make You Stand Out

  • Previous Legal Secretarial experience within a large law firm.

  • Experience supporting a group of authors, including Partners and Senior Associates.

  • Familiarity with digital dictation, document management systems (DMS), and CRM systems.

  • Proficiency with Microsoft Excel.
